Frequently asked questions
What budget should we plan for a 3-day seminar in Tokyo?
Plan on about €2,400 per person excluding flights for 2 nights in a conference hotel, meeting rooms, meals, one activity and on-site staff. The budget depends mostly on the hotel category, the season and the level of AV and interpretation. We provide a line-by-line quote within 5 business days.
How far in advance should we book?
Ideally 6 to 9 months ahead for groups over 50, and 12 months for cherry blossom season or autumn. Ballrooms at major Tokyo hotels are in high demand from Japanese companies at fiscal year-end (March) and in December.
Can the whole group dine together in one restaurant in Tokyo?
Above 40 guests, few quality restaurants can take the whole group. We either host dinner in a private hotel banquet room or split the group across several nearby restaurants with one host each, which protects the quality of the food and the atmosphere.
Do participants need a visa?
Citizens of the EU, Switzerland, the UK, Canada and the US can enter Japan visa-free for short unpaid stays, including a seminar. For other nationalities, we provide the required invitation letters. Always check current rules with the Embassy of Japan.
What happens with the team building if it rains?
Every outdoor activity has an indoor variant booked in parallel: sushi workshop, calligraphy or a rally adapted to underground malls and stations. The decision is made at 6:00 pm the day before, based on the Japan Meteorological Agency forecast.
