Japan MICE agency

Japan MICE agency: meetings, incentives, conferences and events

Meetings, incentives, conferences and events: in Japan, each pillar of MICE comes with its own constraints. We orchestrate all four with the same rigor, from Tokyo to Okinawa.

Meetings and corporate seminars

Leadership meetings, team seminars, sales kick-offs: Japan offers a setting that leaves an impression and supports focus. Tokyo has the widest range of conference hotels; Kyoto suits small committees; Osaka and Fukuoka offer excellent value.

  • Plenary and breakout rooms in hotels or dedicated venues
  • Audiovisual equipment, simultaneous interpretation, recording
  • Breaks and working lunches paced to the day
  • Evening social program to extend the conversation

Incentives and reward travel

An incentive in Japan is built on access participants could not arrange themselves: a temple opened outside visiting hours, a private dinner, a meeting with a master artisan, an evening cruise on Tokyo Bay.

We combine destinations according to length: Tokyo and Kyoto by Shinkansen (about 2 hours 15 minutes), an extension to Osaka, or a final stay at an Okinawa resort.

Conventions and conferences

Japan has leading convention centers, connected to public transport and surrounded by hotels.

  • Tokyo: Tokyo International Forum, Tokyo Big Sight
  • Kyoto: ICC Kyoto
  • Osaka: Grand Cube Osaka
  • Fukuoka: Fukuoka Convention Center
  • Okinawa: Okinawa Convention Center

For a 200 to 500-participant convention, we spread accommodation across several hotels within walking or shuttle distance and coordinate registration, flows and catering.

Corporate events and evenings

Product launches, gala dinners, company anniversary events: we source venues, handle permits and coordinate production.

  • Private venues: hotel banquet halls, restaurants, cultural spaces, rooftops
  • Japanese entertainment: taiko drumming, kagami-biraki sake ceremony, artisan demonstrations
  • Staging, sound and lighting, catering
  • Late-evening transfers, planned around last train times

MICE accommodation: a highly segmented market

In Japan, the hotel choice shapes everything else. Business hotel rooms are often compact, conference hotels offer ballrooms and breakout rooms, and peak dates book up very early.

  • Business hotels: controlled rates, transport access, corporate comfort
  • Conference hotels: large capacity, ballrooms, breakouts, banquets
  • MICE hotels: convention floors and immediate proximity to convention centers
  • Luxury, ryokan and resorts: executives, premium incentives, Okinawa

Frequently asked questions

What does MICE stand for?

MICE stands for Meetings, Incentives, Conferences (or Conventions) and Events (or Exhibitions), the business events sector. In Japan, the term is widely used by public authorities and convention bureaus to describe this sector.

Which city should we choose for a MICE event in Japan?

Tokyo offers the largest hotel capacity and the best air connections via Haneda and Narita. Kyoto suits smaller groups and cultural programs, Osaka conventions and food experiences, Fukuoka tighter budgets and Okinawa beach incentives. The choice depends on group size, season and objective.

What is the best season for an event in Japan?

Spring (late March to May) and fall (October to November) offer the most pleasant weather, but also the highest hotel demand. June and July bring the rainy season, August heat and typhoon risk. Winter is calm and often better value, outside the year-end holidays.

Can you provide interpreters for our meetings?

Yes. We book consecutive interpreters for business meetings and visits, and simultaneous interpreters with booths and receivers for plenaries. We recommend booking specialist interpreters several months ahead and sharing presentation materials with them.

How long does it take to organize a MICE event in Japan?

For a convention over 200 participants, allow 9 to 12 months to secure the venue and hotels. An incentive of 50 to 150 people is ideally prepared 6 to 9 months ahead, a 30 to 60-person meeting 3 to 6 months ahead. In spring and fall, these lead times get longer.

Do you offer MICE programs in Okinawa?

Yes. Okinawa combines beach resorts, hotel meeting rooms and the Okinawa Convention Center in Ginowan. It is reached by direct flights from Tokyo and Osaka to Naha Airport (OKA). Typhoon season, mainly July to September, needs to be factored into planning.
