Executive travel Japan: leadership retreats and board trips

Executive committees, board meetings, leadership retreats and study tours: executives expect discretion, seamless logistics and substance. We plan every minute so time spent in Japan is time well used.

What executives expect from a trip to Japan

An executive committee has little time and packed agendas. The program must balance work, meetings and recovery, with no idle time and no improvisation.

  • Confidential meeting rooms equipped for video conferencing
  • Door-to-door chauffeured transfers
  • Targeted meetings: partners, clients, experts, site visits
  • Rare cultural moments in very small groups
  • Full flexibility to absorb last-minute agenda changes

Tokyo and Kyoto: a pairing for executive committees

Tokyo is home to corporate headquarters, business meetings and luxury hotels in Marunouchi, Otemachi and Toranomon, about 30 minutes from Haneda. Kyoto, about 2 hours 15 minutes away by Shinkansen, offers the distance needed for a strategy session: a private room in a luxury hotel, a ryokan, or a traditional venue opening onto a garden.

For a 5 to 7-day program, we often add Osaka for an industrial visit or a dining evening, departing via Kansai Airport.

Business meetings and Japanese etiquette

Success in a meeting with Japanese partners depends heavily on preparation.

  • Meishi: bilingual business cards, exchanged with both hands and read carefully before putting them away
  • Protocol: order of entry and seating at the table and in the meeting room according to seniority
  • Punctuality: arriving a few minutes early is the norm
  • Gifts: a carefully wrapped present, often linked to your region or company
  • Interpretation: an experienced consecutive interpreter briefed on your industry vocabulary

We prepare a briefing note for each meeting and accompany the delegation on site.

Accommodation and meeting venues

For executives, we select luxury hotels offering suites, private lounges and impeccable service, or exceptional ryokan for a night in Kyoto. Some ryokan or traditional villas can be booked exclusively for a small group, subject to availability.

  • Boardrooms within hotels, with in-room dining
  • Private spaces in cultural venues or restaurants in Kyoto
  • Dinners in private rooms (koshitsu), well suited to confidential conversation
  • Wellness options: onsen, spa, an early-morning garden walk

Discretion, security and assistance

We share information only with the suppliers involved and can work under a non-disclosure agreement. A dedicated project manager remains reachable 24/7 throughout the stay, with a fallback for every critical step: flights, trains, weather, health.

In case of a typhoon or rail disruption, we reorganize transfers immediately, for instance switching a Shinkansen leg to a domestic flight or a chauffeured car.

Frequently asked questions

How long should an executive committee trip to Japan be?

From Europe or the Americas, 5 to 7 days allows time to absorb jet lag, hold two days of meetings and include business meetings and cultural time in Kyoto. From elsewhere in Asia, 3 to 4 days is often enough.

Can you set up meetings with Japanese companies?

We can request site visits and meetings with experts or industry counterparts based on your objectives. Confirmation always depends on the host company and takes several weeks. We handle correspondence in Japanese, logistics and interpretation.

Can we book a ryokan exclusively for an executive committee?

Some small ryokan accept a full buyout for a group, on request and subject to availability. Book very early, especially in spring and fall. We also check whether a working session can be held there, as not all have suitable space.

What level of confidentiality do you guarantee?

We share names and schedules only with suppliers who need them and can sign a non-disclosure agreement. Meeting rooms, restaurants and vehicles are chosen for their discretion. Program documents can be anonymized.

Do you arrange domestic flights or helicopters?

We book domestic flights, for example between Haneda and Fukuoka or Naha, and can look into private flights or helicopter transfers subject to permits and availability. For Tokyo to Kyoto, the Shinkansen in the Green Car is often the fastest and most reliable city-center option.
